Lastaus Heikki Kärjä Oy

From one time-tracking solution into a broader operational system

Development started from a practical problem: tracking working time was cumbersome and required a lot of follow-up. The solution was built together, and it became clear that the same whole could also address challenges in order and fleet management.

Starting point

Before the current system, day-to-day matters were handled from memory or by filling in Excel sheets. Working-time tracking in particular caused extra follow-up work.

When the needs were reviewed together, order management and fleet management also came up.

Solution

Instead of looking for a separate tool for each problem, the whole was built step by step around the same system. Working-time tracking, orders and fleet came into one place: hours are recorded centrally, organising work between supervisors and employees is faster, and fleet information lives in the same whole.

Effect on everyday work

The original working-time tracking problem has in practice almost disappeared. Extra follow-up related to employee hour entries has decreased significantly, and the order system has made organising work between employees and supervisors easier and faster. The system is also being expanded with an automated integration that will send time data directly to the payroll system.

Next step

The collaboration is currently being expanded with new weighing software that will replace an older desktop-based solution. The aim is to make weighing an easy-to-use whole for the driver, supervisors and billing — including reports and real-time follow-up on mobile.

Saumaset Oy

From paper and email into one system

Project and site information at Saumaset Oy had previously been scattered across paper and email. The aim was to gather the information in one place, make field entries easier, and smooth project follow-up and billing.

Project and site information was largely handled on paper and by email. Managing the whole was difficult because the information lived in several places.

Double entries, searching for information, compiling billing material, and the flow of information from site to office created extra work.

Field and office information in the same system

Field and office information was brought into the same system. Site entries can be made directly from the field, project documentation lives in one place, and billing material is compiled more smoothly.

According to Saumaset, project follow-up and billing have become easier after the system was taken into use. Up-to-date information is more readily available, and the whole is easier to manage.
